Several current board members will no longer be able to serve due to their children's promotion to high school. Wicklund School Foundation really needs YOU to step in!

FIRST, let's address some misconceptions about serving on the Wicklund School Foundation:

Misconception #1: People on WSF don't have jobs.

FACT: Out of 11 WSF members, 7 have full-time jobs, 3 have part-time jobs, and one is a full-time stay-at-home parent.

Misconception #2: I already am involved in other organizations. I don't have time for this.

FACT: WSF work-demand ebbs and flows, with some months being busier than others. While it does require effort, all of our members are also involved in other organizations, including, but not limited to, coaching sports teams, serving on governing boards, participating in church/community service work, scouting, and more.

Misconception #3: I don't know what to do.

FACT: Neither did any of us when we started! You learn as you go. You have a team of people to help and work with. If you care about providing better learning opportunities and a richer school experience for the children, teachers, and staff at Wicklund, that is enough!

Misconception #4: Someone else will do it.

FACT: No, unfortunately, they won't. Parent volunteerism has drastically decreased since the pandemic. Bottom line, this is your kids' school, so it's up to you, not someone else.

Misconception #5: I don't know anyone on WSF and/or this is only for women.

FACT: We want to get to know you! We are friendly and helpful. We also currently have one man on the board, and men have served in the past. Any parent of a Wicklund student can serve on WSF. ALL are welcome and needed!

Prospective Board Members

Who can serve on the Board? According to our bylaws, any parent of a current Wicklund student who isn’t eligible for a non-elected position is eligible to be nominated.
Can school employees serve on the Board? Yes, except for Administrators and Teachers, as long as they are parents of current students. Administrators and Teachers qualify for non-elected positions — one for admin and three for teachers.

So, as you see, YOU are a prime candidate to join WSF!

Who's Doing What Already?!!

Open Positions and Board Members currently serving...

According to our bylaws, the Vice President is open for nominations this year. The current Vice President, Daisy Guitierrez, is not able to return for a second term, so the position is open. Andrea Gehmlich is willing to serve as Vice President and accept a nomination.
According to our bylaws, the Communications Chair position is open for nominations this year. The current Communications Chair, Andrea Gehmlich, would like to continue on the Board but in a different position.
According to our bylaws, the Treasurer position is open for nominations this year. Lindsay Fochler holds this position and is willing to continue, but would really like a Co-chair! Lindsay is willing to accept nominations.
According to our bylaws, the position of Parliamentarian is open for nominations this year. The current Parliamentarian, Jamie Carpenter, does not qualify to serve on the board next year (no more children at Wicklund).
According to our bylaws, the Sponsorship Chair is open for nominations this year. Godwin Ebenezer holds this position and would like to continue. He will accept nominations for the upcoming term.
According to our bylaws, the Appreciation Chair is open for nominations. Teresa Butzner currently holds the position and would like to continue serving. She's open to co-chairing. She will accept nominations for Appreciation Chair.
The role of Community Engagement Chair is not set to be open this year, but Vicki Beckman, our current Chair, does not qualify to serve for the second half of the term (no more children at Wicklund), so the role of Community Engagement Chair will be open for the second half of its term.

If there is a position you would like, please nominate yourself. We are all happy to move around to accommodate more people willing to serve on the board!

WSF Board Position Descriptions Open for Nominations for the 2026-2027 School Year

Vice President

Open per Bylaws for a two-year term.

Cannot be co-chaired.

The position of Vice President will have the following duties and responsibilities:

A. Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.

B. Assume the duties and responsibilities of any position currently vacant.

C. Oversee all WSF Committees and Programs.

For each proposed Committee, determine the need for and direct the Technology Chair to create interest forms via the PTO management software.
For each new Committee, attend initial meeting to:
- Ensure that the Committee has a WSF Board Member Liaison.
- Ensure that the planned activities for the coming year align with The Foundation’s mission.
- Review the guidelines for Committees as per these Bylaws stated in Article 9 WSF Committees.
Serve as WSF Board Member Liaison for all active Committees if the position is otherwise unfilled.

D. Ensure an annual review of these Bylaws occurs and that they reflect current practices and needs.

E. Track WSF assets in use by school staff.

Maintain a list of all non-consumable items purchased for teachers by WSF, either with funds from WSF or teacher-earmarked monies.
Inventory and label all items and supplies that are property of WSF and ensure that items are stored in a secure area. With input from the Treasurer and working with Site Administration, ensure all non-consumable items purchased for teachers by WSF, either with funds from WSF or teacher-earmarked monies, remain on campus at the end of each year.

Communications Chair

The office of Communications Chair will have the following duties and responsibilities:

A. Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.

B. With input from The Board, publish WSF news regularly to any and all communication tools in use by WSF. This includes but is not limited to:

WSF Website;
WSF Social Media;
WSF Newsletter;
Wicklund Elementary Communication Board; and
Wicklund Elementary Newsletter.

Treasurer

Open per bylaws for a two-year term.

REALLY NEEDING A CO-CHAIR!

The office of Treasurer will have the following duties and responsibilities. In the case that the position is co-chaired, those items marked _”1” will be the responsibility of one person and those marked _”2” will be the responsibility of the other. Any items not marked _”1” or _”2” are of equal responsibility for both individuals.

A. Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.

B. Keep sufficient permanent records of all accounts to easily establish all income, receipts, and disbursements of the Foundation. ₁

C. Enter all transactions into Board approved accounting software. ₁

D. Scan all receipts and maintain an electronic record accessible to The Board.

E. In accordance with current law, keep tax records, RRF-1, SI-100, and any applicable raffle registrations. ₁

F. Ensure the continuation of The Foundation’s non-profit status by meeting the following deadlines: ₁

a. Taxes are to be filed after July 1st but before November 15th. ₁

b. Annually file tax forms 990/990N (Federal) and 199N (State) by the 15th day of the 5 month after the end of The Foundation’s accounting period. ₁

G. Provide a monthly update on expenses and profits either electronically or at the WSF General Meeting for all fundraising efforts and spending categories. Expenses and profits for each component will be reported separately. ₁

H. Provide a detailed report of all expenses and profits at the end of the school year. The report will be made available to all Members and presented to the incoming Board prior to the June planning meeting. ₁

I. Deposit cash and checks in bank and maintain a cash box. ₁

J. Complete bank reconciliations on a monthly basis. ₁

K. Place orders for goods and services as requested by Board per purchase approval processes as described in these Bylaws. ₂

L. Pay invoices and reimbursements as requested by Board per purchase approval processes as described in these Bylaws. ₂

M. Ensure annual purchases are made in a timely fashion. These can include Reserved Parking Sign and the 8th Grade Plaque. ₂

N. Provide disbursement of all approved expenditures as directed by the President and Foundation Board. ₂

O. Act as administrator for Board approved software and applications like Square, PayPal, AmazonSmile, Cybergrants, Benevity, Network for Good, YourCause, AssetTiger, etc. ₁

Review all necessary forms and reports required by any governmental agency with the Treasurer elect. ₁

P. Finalize the books for the current academic year by May 31st and complete taxes by July 31. This responsibility will require working with a Board approved tax preparation company, filing all the necessary forms and taxes required by the State of California, the Internal Revenue Service, and any other governmental agency by their respective due dates. ₁

Parliamentarian

The office of Parliamentarian will have the following duties and responsibilities:

Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.
Call meetings to order and adjourn them when all matters have concluded.
Ensure proper procedures, as defined by Robert’s Rules and these Bylaws, are followed during meetings.
Ensure these Bylaws are upheld by all Members and that violations of these Bylaws are brought to the attention of the President in a timely manner.
Ensure a current copy of the Bylaws and Robert’s Rules are available to all Members at all times. Electronic versions are acceptable.
In the event that the position of Secretary or Fundraising Chair is vacant, the office of Parliamentarian will fulfill the duties of that position.

Sponsorship Chair

The office of Sponsorship Chair will have the following duties and responsibilities:

Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.
With input from The Board, coordinate and oversee corporate sponsors.
With input from The Board, review and update annual and event-specific sponsorships levels.
With input from The Board and Committee Chairs, coordinate and oversee the solicitation of sponsors for events, fundraisers, and programs.
Record donations received and send acknowledgment letter to sponsor or donor.
Ensure that sponsors are properly acknowledged throughout the year.

Appreciation Chair

Open per Bylaws for a two-year term.

CAN BE CO-CHAIRED!

The office of Appreciation Chair will have the following duties and responsibilities:

Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.
Ensure staff contact list is current at all times, including site administrators, all classified staff, and teachers.
Ensure the Faculty Favorites page on the WSF website is current at all times.
With input from The Board, oversee the planning and execution of Staff Appreciation week, held the first full week of May each year.
With input from The Board, oversee the planning and execution of staff appreciation efforts throughout the year.
With input from The Board, establish and maintain a yearly budget to cover all appreciation activities.
In the event that the Community Engagement Chair position is vacant, the office of Appreciation Chair will fulfill the duties of this position.

Community Engagement Chair

Position starting mid-term, with one year remaining. As per Bylaws, will be open again in one year for a new, two-year term.

The office of Community Engagement Chair will have the following duties and responsibilities:

Equally participate in the planning and execution of all fundraising events with other Board Members as agreed upon by The Board.
With input from The Board, oversee the planning and execution of events and activities designed to engage and build community at school.
With input from The Board, establish and maintain a yearly budget to cover all Community Engagement activities.
In the event that the Appreciation Chair position is vacant, the office of Community Engagement Chair will fulfill the duties of this position.

WHAT HAPPENS NOW!!

This week only, a form is available on the WSF website to submit nominations to all open positions. Nominations will remain open through midnight on April 12th.
You may nominate anyone eligible for any position, including yourself!
All Nominees will be contacted via email within 24 hours of the nomination to accept or decline their nomination. Any Nominee who does not respond within 48 hours will forfeit the nomination.
In the event two or more Nominees accept a nomination for the same position, the Nominees will have the following options:
1. Move into a position for which no nominations have been accepted,
2. Co-Chair the position, or
3. Move to an election. If needed and in accordance with our Bylaws, the election meeting will take place within one week of nominations closing. The date of the meeting and the candidates will be announced on April 13th.
